Conference and Events Manager
We are seeking an experienced and highly organised Conference & Events Manager to lead the planning, coordination and delivery of conferences, corporate events, meetings, functions and special occasions within our hotel. Reporting to the hotel leadership team, the Conference & Events Manager will oversee the event journey from initial enquiry and contracting through to planning, operational handover and post-event follow-up. You will work closely with clients and internal hotel departments to ensure every event is professionally coordinated, commercially successful and delivered to a consistently high standard.
Key responsibilities include:
- Manage conference and event enquiries, proposals, contracts and bookings.
- Coordinate conferences, meetings, corporate functions, weddings and special events from enquiry through to completion.
- Build strong relationships with clients, event organisers and key accounts.
- Conduct site inspections and confidently showcase the hotel's event spaces, accommodation and facilities.
- Prepare detailed event orders, function sheets, floor plans and operational requirements.
- Coordinate menus, beverage packages, audio-visual requirements, accommodation and other event arrangements.
- Work closely with Food & Beverage, Kitchen, Front Office, Housekeeping, Sales and other hotel departments to ensure seamless delivery.
- Maximise conference and event revenue through effective conversion, upselling and identification of additional opportunities.
- Monitor event forecasts, budgets, deposits, billing and financial performance.
- Maintain accurate information within hotel and event management systems.
- Lead pre-event meetings and ensure operational teams are fully briefed on client expectations.
- Resolve client requests or operational challenges professionally and efficiently.
- Conduct post-event follow-up and use client feedback to continually improve the guest experience.
- Maintain a strong understanding of the local conference, events and hospitality market.
About You
You will be a confident and engaging hospitality professional who enjoys building relationships and managing multiple priorities in a fast-paced environment.
Ideally, you will bring:
- Previous experience in conference and events management, hotel events, functions or a similar hospitality role.
- Strong event planning, administration and organisational skills.
- Excellent written and verbal communication.
- A strong customer service and relationship-management focus.
- Commercial awareness with the ability to maximise revenue opportunities.
- Experience preparing event documentation and coordinating requirements across multiple departments.
- Strong attention to detail and the ability to manage competing deadlines.
- Confidence working with hotel, event management and Microsoft Office systems.
- A collaborative approach and the ability to build strong relationships with operational teams.
- Flexibility to work around event requirements, including occasional evenings and weekends.
